Privacy Policy

Loop Thread LLC

Effective date: September 28, 2026

Loop is a communication platform for home care, operated by Loop Thread LLC ("Loop," "we," "us"). This policy explains what information we collect, how we use it, and the choices you have. It covers our website, our web application, and our mobile applications.

Loop is used by home care agencies, the caregivers who work with them, and the families of the people receiving care. Because conversations about someone's care are sensitive, we treat everything shared on Loop with a high standard of protection.

Information we collect

Account information. Name, email address, phone number, and role (for example: family member, caregiver, or agency staff), provided when an account is created for you.

Messages and care communications. The messages, shift notes, and other content that users send on the platform, which may include information about a person's health, daily life, and care.

Usage and device information. Standard technical information such as log data, device type, and how the platform is used, collected to keep the service running and secure.

Billing information. For agencies that subscribe, billing contact and subscription details. Payment card details are handled by our payment processor; Loop does not store card numbers.

We collect information you or your agency provide to us. We do not buy information about you from anyone.

How AI review works

Messages on Loop are reviewed by an AI system that helps keep families well informed and communication kind. It looks for things like medical opinions from non-medical caregivers, which cannot be shared with families, and moments where a message might land harder than intended. When the system holds a message, the sender sees why and can revise it. If the AI review is ever unavailable, messages are delivered without review rather than delayed or lost. Users are told about this review when they join the platform and agree to it before using Loop.

The AI review exists to support care. It does not make decisions about anyone's employment, and it is not used to advertise to you.

How we use information

We use information to operate the platform: delivering messages to the right people, running the AI review described above, supporting the agencies that use Loop, keeping the service secure, and meeting our legal obligations. We use aggregate, de-identified information to improve how the platform works.

We do not sell personal information. We do not use the content of care communications for advertising.

How we share information

Information on Loop is visible only to the people in your channels: the family members, caregivers, and agency staff connected to a specific person's care. Beyond that, we share information only with the service providers we use to run the platform, such as cloud hosting and AI processing providers, under agreements that require them to protect it; when the law requires it; or in connection with a business transaction such as a merger or sale, in which case this policy's protections follow the information.

Security and health information

Loop is built to HIPAA standards: information is encrypted in transit and at rest, access is limited by role, tenants are isolated from one another at the database level, and activity is logged. If your care provider is an entity covered by HIPAA, we support that relationship, including entering into Business Associate Agreements where required.

No system is perfectly secure, but protecting sensitive care communication is the reason Loop exists, and we build accordingly.

Retention

We keep information for as long as needed to provide the service and to meet the record-keeping obligations that apply to home care communication, after which it is deleted or de-identified. Agencies may have their own retention requirements that apply to their records.

Your choices and rights

You can ask us what information we have about you, ask us to correct it, or ask us to delete it where the law allows. You can request deletion of your account at any time. Depending on where you live, you may have additional rights under state privacy law, including rights under the Colorado Privacy Act.

To exercise any of these rights, contact us at jeff@loopedincare.com or (720) 230-6853.

Children

Loop is not directed at children, and people under 18 may not create an account. Accounts are created for adults by home care agencies. Care communications may mention family members of any age as part of describing a person's care.

Changes to this policy

If we make material changes to this policy, we will post the updated version here and update the effective date. If a change materially affects how care communications are handled, platform users will be asked to review and agree again.
